CrewCast Privacy Policy
CivicLink Solutions, LLC — Effective Date: 4/30/2026
1. Introduction
CivicLink Solutions, LLC ("CivicLink," "we," "our," or "us") operates the CrewCast platform, a communication system used by government agencies and licensed contractors to provide real-time updates on public infrastructure projects.
This Privacy Policy describes how we collect, use, share, and protect information collected through CrewCast.
2. Information We Collect
When users create an account or use CrewCast, we may collect:
- Account information (name, email address, role, and company or organization details)
- Language preference (if provided)
- Project subscription preferences (which projects the user wishes to follow)
- Browser push subscription information (an anonymous endpoint and encryption keys provided by your browser when you enable notifications)
- Notification interaction data (e.g., delivery status, opt-in/opt-out status, timestamps)
We do not collect sensitive personal information such as Social Security numbers, financial account data, or precise geolocation.
3. How We Use Information
We use collected information solely to:
- Deliver project-related updates (e.g., road closures, schedule changes, delays, completion notices)
- Send notifications based on user-selected projects
- Provide content in the user's preferred language (when available)
- Maintain system performance, deliverability, and reliability
- Comply with legal obligations and respond to lawful requests
We do not use account data, push subscription data, or message content for marketing, advertising, or any commercial purpose unrelated to the project communications the user signed up for.
4. Push Notification Consent and Opt-In
Users receive browser push notifications only after taking an affirmative, opt-in action:
- Enabling "Browser push notifications for project updates" in Account Settings, and
- Granting their browser's notification permission when prompted.
Push notifications are device-specific and do not require a phone number or text messaging. Creating an account alone does not enable push notifications.
5. Opt-Out
Users may turn off push notifications at any time, free of charge, by:
- Disabling "Browser push notifications" in the user's CrewCast Account Settings, or
- Revoking notification permission in their browser or device settings.
Once disabled, the user's push subscription is removed and no further notifications are sent to that device unless they affirmatively opt back in.
6. Data Sharing
No personal information will be shared with third parties or affiliates for marketing or promotional purposes. Limited sharing with service providers that support delivery of the service is permitted only as necessary to operate CrewCast.
More specifically, CivicLink Solutions, LLC does not sell, rent, lease, trade, or share personally identifiable information collected through CrewCast with any third party for marketing, advertising, lead generation, or any other commercial purpose.
Limited sharing is permitted only as follows, and only to the extent necessary to operate the service:
- Government agency or contractor managing the project the user has subscribed to — for the purpose of delivering project updates the user requested.
- Infrastructure and delivery providers (e.g., the user's own browser push service and our hosting provider) — strictly for the technical delivery of the notifications and pages the user has requested. These providers are bound by their own privacy and security obligations.
- When required by law — in response to a valid subpoena, court order, public-records request, or other lawful process, or to protect the rights, property, or safety of CivicLink, our users, or the public.
7. Data Security
We implement commercially reasonable administrative, technical, and physical safeguards to protect user information from unauthorized access, disclosure, alteration, or destruction. These include encryption of data in transit (TLS), restricted access controls, and routine security review.
8. Data Retention
We retain data only as long as necessary to:
- Provide ongoing project communications the user has subscribed to
- Maintain auditable records of opt-in and opt-out actions
- Comply with legal, regulatory, or public-records requirements applicable to our agency customers
When the user opts out, the associated push subscription is deleted. Other associated data is deleted or de-identified when no longer needed.
9. Public Agency Use
CrewCast is used by public agencies that may be subject to public-records or open-records laws. Communications and related data may be subject to disclosure as required by applicable law. Individual subscriber information is treated as confidential to the maximum extent permitted by such laws.
10. Children's Privacy
CrewCast is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with such information, please contact us at support@crewcastapp.com and we will delete it promptly.
11. Changes to This Policy
We may update this Privacy Policy periodically. Updates will be posted on this page with a revised effective date. Material changes that affect how we use or share data will be communicated to active users in advance where practicable.
