CrewCast SMS Privacy Policy

1. Introduction
CivicLink Solutions, LLC ("CivicLink," "we," "our," or "us") operates the CrewCast platform, a communication system used by government agencies and licensed contractors to provide real-time updates on public infrastructure projects.
This Privacy Policy describes how we collect, use, share, and protect information — with specific attention to mobile phone numbers and SMS/text messaging data — collected through CrewCast.
2. Information We Collect
When users opt in to receive SMS/text notifications through CrewCast, we may collect:
- Mobile phone number
- Language preference (if provided)
- Project subscription preferences (which projects the user wishes to follow)
- Message interaction data (e.g., delivery status, opt-in/opt-out status, timestamps)
We do not collect sensitive personal information such as Social Security numbers, financial account data, or precise geolocation through our SMS services.
3. How We Use Information
We use collected information solely to:
- Deliver project-related updates (e.g., road closures, schedule changes, delays, completion notices)
- Send notifications based on user-selected projects
- Provide messages in the user's preferred language (when available)
- Maintain system performance, deliverability, and reliability
- Comply with legal obligations and respond to lawful requests
We do not use SMS opt-in data, mobile phone numbers, or message content for marketing, advertising, or any commercial purpose unrelated to the project communications the user signed up for.
4. SMS Consent and Opt-In
Users receive text messages only after providing express written consent. Consent is collected through one of the following channels:
- Following a project on the CrewCast website (crewcastapp.com) and submitting a mobile phone number through the SMS opt-in dialog
- Scanning a project-specific QR code and completing the opt-in form
- Entering a phone number on a CrewCast project page after reviewing the SMS terms
The opt-in dialog clearly discloses the program name ("CrewCast Project Updates"), message frequency ("recurring messages, frequency varies by project activity"), the statement "Message and data rates may apply", and links to this Privacy Policy and our Terms of Service. 5. Opt-Out and Help
Users may opt out of SMS communications at any time, free of charge, by:
- Replying STOP to any CrewCast message (auto-reply: "You have been unsubscribed from CrewCast (CivicLink Solutions) notifications. You will no longer receive text messages. Reply START to resubscribe.")
- Replying HELP for assistance (auto-reply: "CrewCast by CivicLink Solutions. Get project updates via SMS. Reply STOP to unsubscribe. Msg frequency varies. Msg & data rates may apply. For help: support@crewcastapp.com or visit crewcastapp.com")
- Disabling SMS notifications inside the user's CrewCast account settings
Once opted out, users will no longer receive text messages from CrewCast (CivicLink Solutions, LLC) unless they affirmatively opt back in.
6. Mobile Information & SMS Data Sharing
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service or message delivery, is permitted. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
More specifically, CivicLink Solutions, LLC does not sell, rent, lease, trade, or share mobile phone numbers, SMS opt-in data, message content, or any personally identifiable information collected through CrewCast SMS services with any third party for marketing, advertising, lead generation, or any other commercial purpose.
Limited sharing is permitted only as follows, and only to the extent necessary to operate the SMS program:
- Government agency or contractor managing the project the user has subscribed to — for the purpose of delivering project updates the user requested.
- Telecommunications service providers (e.g., Twilio, Inc., our SMS aggregator and the underlying mobile carriers) — strictly for the technical delivery of the SMS messages the user has consented to receive. These providers are bound by their own privacy and security obligations.
- When required by law — in response to a valid subpoena, court order, public-records request, or other lawful process, or to protect the rights, property, or safety of CivicLink, our users, or the public.
7. Data Security
We implement commercially reasonable administrative, technical, and physical safeguards to protect user information from unauthorized access, disclosure, alteration, or destruction. These include encryption of data in transit (TLS), restricted access controls, and routine security review of our SMS pipeline.
8. Data Retention
We retain SMS-related data only as long as necessary to:
- Provide ongoing project communications the user has subscribed to
- Maintain auditable records of opt-in consent and opt-out requests
- Comply with legal, regulatory, or public-records requirements applicable to our agency customers
When the user opts out, the phone number is retained on a suppression list solely to ensure no further messages are sent. Other associated data is deleted or de-identified when no longer needed.
9. Public Agency Use
CrewCast is used by public agencies that may be subject to public-records or open-records laws. Communications and related data may be subject to disclosure as required by applicable law. Mobile phone numbers of individual subscribers are treated as confidential to the maximum extent permitted by such laws.
10. Children's Privacy
CrewCast SMS services are not directed to children under the age of 13, and we do not knowingly collect personal information — including mobile phone numbers — from children under 13. If you believe a child has provided us with such information, please contact us at support@crewcastapp.com and we will delete it promptly.
11. Changes to This Policy
We may update this Privacy Policy periodically. Updates will be posted on this page with a revised effective date. Material changes that affect how we use or share SMS opt-in data will be communicated to active subscribers in advance where practicable.
